Scaling up from a solo practice? ClinicNode makes multi-user management seamless. This guide covers how to set up your clinic, delegate tasks to staff, and manage clinic-wide settings.
1. Setting Up Your Clinic
If you operate out of a physical location with other staff, you should create a "Clinic" entity.
- Go to My Clinics tab from menu
- Click "Create Clinic" button
- Enter the clinic name, address, and contact details
Once created, this clinic becomes a central hub for appointments, billing, and staff management.
2. Switching Modes (Individual vs. Clinic)
One of ClinicNode's most powerful features is the Mode Selector Dropdown at the top of your dashboard. This allows you to context-switch between your private practice and your clinics.
- Personal Mode: When you select your personal mode, you see data only for your private patients and appointments. Staff at your clinics cannot see this data.
- Clinic Mode: When you select a specific Clinic, the dashboard updates to show data for that specific location. So you can see the appointmnents scheduled for you at clinic.
- Everything mode: When you select everything mode, you see data for all clinics and private practice. Gives you an overall picture into all your patients, useful for doctors who have private practice and also consult at clinics
Note: Always check which mode you are in before adding patient to ensure it's logged under the correct entity!
3. Adding Staff & Permissions
Delegate tasks securely by adding staff members with specific roles.
- Navigate to Staff: Open your Clinic settings and select the "Staff" tab.
- Invite Member: Enter their email address and select a role.
Understanding Roles
- Admin: Full access to all settings, financial reports, and staff management.
- Doctor: Can manage their own appointments, patients, and clinical notes. Can view their own financial reports.
- Receptionist: Can schedule appointments and generate invoices for all doctors but has restricted access to sensitive financial data and settings.
4. Clinic-Wide Settings
Consistency is key. Configure settings that apply to all doctors and staff at your clinic.
Branding
Upload a Clinic Logo and Clinic Stamp in the clinic settings. These will prominently appear on all invoices generated under this clinic, ensuring a professional brand image.
Centralized Notifications
Manage how patients receive updates for appointments at this clinic.
- Go to Notification Settings within the Clinic dashboard.
- Enable/Disable SMS or Email reminders for all appointments scheduled at this location.
- This overrides individual doctor settings for clinic appointments, ensuring a uniform patient experience.
